Description: Carroll College, a private, Catholic liberal arts college located in Helena, Montana seeks an experienced higher education professional with a collegial work style to provide overall leadership and management of the Office of the Registrar. The college’s Liberal Arts curriculum is complemented by professional programs and, more recently, new graduate programs.

Reporting to the Associate Vice President for Academic Affairs, the Registrar is a key member of Carroll College’s academic leadership team. The Registrar supervises a team of three who collectively manage all areas of student registration and maintenance of student records including the recording and reporting of grades, transcript evaluations and transfer credit postings, internal and external (NSC) enrollment and degree reporting, as well as various internal reporting requests including data analytics, compliance with FERPA regulations, NAIA athletic eligibility, required audits of student enrollment, class scheduling and registration processes, classroom allocation, and commencement.

The Registrar leads the registration team in partnership with the college-wide, enrollment management effort. The Registrar’s Office works closely and collaboratively with other staff departments and the faculty to ensure compliance with college, state and federal regulations, policies and procedures. Carroll College uses Ellucian Colleague ERP and prior experience with this system is a plus.

 
Responsibilities include:
  • Oversee the maintenance and integrity of all student academic records in accordance with AACRAO standards and FERPA regulations
  • Ensure compliance with College policies and federal, state, and accreditation regulations
  • Manage the establishment and maintenance of processes for the equitable and consistent administration of academic record keeping policies and procedures
  • Work collaboratively with IT to plan and develop strategies for maintenance and assessment of academic information infrastructure; this includes advising IT on software and programming issues
  • Supervise professional staff and student workers, provide feedback, and ensure professional development opportunities related to job responsibilities
  • Chair the Academic Policy Committee; Serve on other academic and College committees
  • Manage Registrar department and graduation budgets
  • Update the Academic Catalog, including major and minor requirements, course descriptions and academic policies and procedures, academic calendar revisions and publication
  • Advise and train students and faculty on academic degree requirements, eligibility, academic policies and processes
  • Serve as the institutional DSO and ARO for international degree seeking and exchange students
  • Participate in academic retention processes and collaborates with staff in Academic Affairs and Student Life on retention program development and student support services.
  • Coordinate all aspects of Commencement
  • Other duties as assigned
Educational and Professional Qualifications:
Bachelor’s degree required, Master’s degree from an accredited institution in counseling, student services administration, higher education, or other relevant fields is preferred.  Minimum of 3-5 years’ experience working in higher education with progressively responsible roles, ideally in registrar work, enrollment management, advising, admissions, or related field, or an equivalent combination of education, training and experience.

  • Experience communicating with people from a variety of backgrounds–including students, faculty, staff, administration, parents, and alumni
  • Ability to think strategically, and find creative solutions to problems
  • Knowledge of Ellucian Colleague ERP
  • Experience with Access, Business Objects, PowerBI, SQL, or other reporting software
  • Experience implementing effective changes in data processes, analytics, and/or management
