CREDENTIAL FILES POLICIES AND PROCEDURES

Federal legislation guarantees all students and graduates the right to review their recommendations written after January 1, 1975. Those recommendations written prior to January 1, 1975 are confidential and may not be reviewed. It is the policy of Career Services that students who establish files after January 1, 1975 will sign a written consent form indicating whether their file will be non-confidential and therefore open for their inspection, or confidential, in which case the student waives the right to inspect the file.

A. Types of materials contained in a credentials file:
1. Consent form indicating type of file established (non-confidential or confidential).
2. Letters of recommendation. (3 to 5 are sufficient).
3. Current resume or curriculum vitae (optional). This is for our information only and will not be included in the packets sent to employers.
4. Summary of College Credits Form, which lists college courses taken and grades received. Career Services does not handle transcripts. If a prospective employer requests a transcript, you are to contact the Registrar's Office.

B. Procedures:
1. Credential packets are established at the Career Services department. At the time the file is established, the student must decide if the file is to be confidential or non-confidential.
2. Credential files become "active" upon receipt of payment. ($25.00). No file will be sent prior to receipt of the initial fee.
3. Contents of credentials file can be checked in person or by telephone. For confidential files, the student may inquire whether a particular letter is in the file, even though access to view the contents of the letters in the file is waived.
4. Requests by students and alumni(ae) to send credentials may be accepted by telephone if the student has checked the appropriate box on the consent form.
5. All contents of the file will be sent unless instruction is given otherwise.
6. A log is maintained of each credential file indicating the names of employers receiving the credentials and the date sent.
7. Students are requested to include date of graduation, major, and name while enrolled at Carroll College on any correspondence regarding credentials.

C. Fees:
1. The initial fee is $25.00, which entitles the student to the first 10 credentials packets sent to prospective employers.
2. Thereafter, students/alumni pay an additional $15.00 for each five credentials packets.

D. Future Use of Credentials:
1. Students/ alumni(ae) may maintain their credentials files indefinitely.
2. Alumni(ae) are expected to periodically update their files, adding new recommendations and deleting outdated ones.
3. IMPORTANT NOTE: Due to limited storage space, all files that remain inactive for a period of ten years will be destroyed. It is your responsibility to notify Career Services if you wish to keep the file active. Any activity such as receipt of updated letters of reference, requests to send the file to prospective employers, or a letter from the alum(na) requesting to keep the file active are considered measures that keep the file in an active state.

ALL CREDENTIALS FILES WILL BE LIMITED TO TEN SHEETS OF PAPER
